Human Resources Assistant

JOB SUMMARY
The Human Resources Assistant is responsible for supporting all human resources functions, with an emphasis on recruiting, interviewing and selection, onboarding, training and development, staff communication, and other duties as directed by the Human Resources Manager. This role requires strong relationship building, communication, judgement, and prioritization skills as well as creativity, adaptability, resiliency, reliability, and integrity.
Essential Duties and Responsibilities
Human Resources Administration & Compliance
- Maintain accurate, complete, and confidential employee records in compliance with legal and organizational requirements.
- Perform routine and transactional tasks required to administer HR programs, including payroll support, benefits administration support, leave tracking, performance documentation, disciplinary documentation, investigations support, recognition, morale initiatives, and training coordination.
- Track and document compliance with mandatory and non-mandatory training, certifications, and assessments.
- Support compliance with federal, state, and local employment laws by maintaining documentation, tracking deadlines, and escalating issues to the HR Manager as needed.
- Maintain working knowledge of HR practices, policies, and compliance requirements relevant to the role.

- Maintain knowledge of HR trends, regulatory changes, and emerging best practices.
Recruiting, Hiring & Onboarding
- Support recruiting, interviewing, and selection processes for open positions.
- Collaborate with hiring managers to understand position requirements and hiring timelines.
- Collaborate with hiring managers to ensure job descriptions and interview questions are relevant, current, and compliant.
- Coordinate job postings, applicant communications, interview scheduling, and hiring documentation.
- Ensure applicants receive accurate information regarding job duties, compensation, benefits, schedules, working conditions, and advancement opportunities.
- Coordinate onboarding and offboarding activities including new hire orientation logistics, and termination processing, in compliance with organizational policies and applicable laws.
Employee Relations & Support
- Serve as a professional, approachable, and confidential point of contact for employees, applicants, and managers/supervisors.
- Respond to routine employment-related inquiries and requests; escalate complex issues to the HR Manager.
- Prepare and maintain employee relations documentation including performance reviews, leave records, disciplinary documentation, and investigation files.
- Attend and support employee disciplinary meetings, terminations, and investigations at the direction of the HR Manager.
Training & Development
- Coordinate onboarding and ongoing training programs aligned with organizational needs.
- Track review cycles and ensure timely completion of evaluations.
- Track employee training participation and maintain accessible records for managers and regulatory agencies.
- Support department managers in scheduling and documenting required and optional training.
- Assist with training audits and provide recommendations to the HR Manager as requested.
Safety, Retention & Culture
- Coordinate workplace safety documentation and reporting, Health Department logs, and safety training records.
- Support the Safety Committee and safety initiatives as assigned.
- Assist with the filing and management of workers' compensation claims as needed.
- Coordinate employee engagement, communication, retention activities, and workplace culture initiatives.
- Track staff amenities usage and budgets as directed.
- Conduct exit interviews as requested and share summarized feedback with the HR Manager.
Customer Service & Operational Support
- Provide high-quality internal and external customer service in alignment with organizational standards.
- Assist with phone coverage, information routing, and general administrative support as needed.
- Achieve daily operational goals and support department workflow.
- Perform other duties as assigned by the HR Manager.

- Proficiency with Microsoft Office and web-based productivity tools.
- Ability to quickly learn and effectively use HRIS and talent management systems.
- Demonstrated objectivity, discretion, and sound judgment.
- Regular, predictable attendance.
Preferred
- Experience in an office or professional work environment.
- Experience in retail, grocery, natural foods, or cooperative business settings.
- Availability to work evenings, weekends, and holidays as needed.
Physical Requirements
- Ability to stand, sit, walk, and move throughout the premises for extended periods.
- Ability to perform repetitive office tasks including keyboarding, filing, and screen work.
- Ability to lift and move up to 50–60 pounds occasionally.
- Ability to safely operate standard office and position-required equipment.
