Job Summary:

The receptionist for the Clare Eddy Thaw Animal Hospital is responsible for scheduling appointments, answering the telephone, scanning of medical documents, checking in new and existing clients and patients, financial transactions, reception and lobby area maintenance, and other duties as assigned.


Essential Functions and Responsibilities:

· Perform related duties as assigned by supervisor.

· Maintain compliance with all company policies and procedures.

· Display a willingness to be flexible with your schedule.

· Arrive to work on time and as scheduled.

· Maintain a professional appearance.

· Answer telephone calls.

· Make appointments and then confirm appointments the day prior via a telephone call.

· Educate clients on proper care of patient prior to procedures.

· Enter all data accurately into computer for clients and patients.

· Serve as initial source of information to clients and the public.

· Accurately navigate your way around Avimark, Chameleon and Microsoft Office Suite.

· Take payment for services and enter into record accurately.

· Prepare the lobby and reception area for the start of the day.

· Perform end of day closeout.

· Maintain cleanliness of the reception area, lobby and public restroom.

· Fill out accurate prescription refill requests and give to the doctor in a timely manner.

· Attend staff meetings.

· Help veterinarian or other staff members accomplish other tasks to make hospital run smoothly.

Education and/or Work Experience Requirements:

· Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers/staff/patrons

· Excellent computer proficiency (MS Office - Word, Excel and Outlook)

· Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary communication

· Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices

· Experience in an animal hospital setting preferred but is not required.

· High school diploma or GED

Physical Requirements:

· Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.

· Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards

· Must be able to lift and carry up to 50 lbs.

· Must be able to talk, listen and speak clearly on telephone.
