Salary Range: 41,000 - $63,000 ($19.71 - $34.80 per hour depending on experience)

Position Summary
The Operations Support Specialist is a dynamic, detail-oriented team member who plays a key role in supporting various administrative departments across the bank. This position is ideal for someone eager to learn and comfortable navigating a fast-paced environment with shifting priorities. The right candidate will be reliable, driven, and detail-oriented, with a positive, approachable personality that fosters effective collaboration across all teams. Confidentiality, sound judgment, high ethical standards, and the ability to work independently are essential for success in this role.

Essential Duties and Responsibilities

  • Assist and serve as a back-up with several general ledger (GL) reconciliations, including documentation and discrepancy resolution.
  • Assist with dormant accounts, ensuring proper recordkeeping and adherence to applicable regulations.
  • Support the PDPA processes and assist the team with related tasks, serving as a reliable point of contact as needed
  • Back-up support for several tasks including: escheatment, ATM terminal balancing, new employee orientation, daily/monthly report reviews, decisioning non-posts and NSFs; processing chargebacks, stop payments and ACH returns
  • Support the Human Resources team by managing new employee supplies, swag procurement, and coordinating pick-up of branded items and awards.
  • Serve as the lead for the internal Events Committee, coordinating meetings and approvals, logistics, and follow-up.
  • Assist in planning internal training, including room reservations, communications, catering, and material prep.
  • Update company intranet content, including but not limited to milestones (anniversaries and birthdays), upcoming internal events, and other general staff communications.
  • Provide direct administrative assistance to C-Suite executives
  • Coordinate and organize executive-level meetings, board materials, and leadership team communications, ensuring timely follow-up on action items.
  • Prepare, edit, and format sensitive documents, reports, and presentations for executive review and external distribution.
  • Handle confidential projects and high-level requests with discretion, professionalism, and attention to detail.
  • Maintain a high level of confidentiality in handling sensitive personnel and company information.
  • Use good judgment, discretion, and problem-solving skills to independently resolve issues and ensure tasks are completed accurately and on time.
  • Other duties as assigned.

Required Knowledge and Expertise

  • Strong work ethic, high personal integrity, and willingness to take initiative without prompting.
  • Ability to maintain confidentiality and discretion in all matters.
  • Positive, approachable demeanor with strong interpersonal communication skills.
  • Comfortable working independently and collaborating across multiple teams.
  • Proficient with Microsoft Office (Word, Excel, Outlook); prior experience with banking systems is a plus.
  • High attention to detail and excellent organizational skills.
  • Previous administrative, event coordination, or multi-department support experience preferred.
  • High School Diploma or equivalent.
