Thanks! Position Overview The Office Manager for a construction company is responsible for overseeing all administrative operations to ensure efficiency and streamline processes within the office. This role is integral to supporting construction projects by managing day-to-day administrative tasks, coordinating communication, and maintaining organizational standards. Key Responsibilities + Office Operations Management: Supervise daily office activities, ensuring smooth operations of administrative tasks such as scheduling meetings, maintaining records, and managing correspondence. + Vendor Coordination: Liaise with construction suppliers, contractors, and other vendors to track orders, invoices, and payments while maintaining accurate documentation. + Project Support: Provide administrative support to project managers, engineers, and construction staff by organizing project-related documents and tracking progress timelines. + Budget Tracking: Assist with budget management by monitoring expenses, preparing expense reports, and maintaining financial documentation. + Human Resources Support: Manage onboarding paperwork for new hires, track employee attendance, and coordinate payroll with HR or external agencies as needed. + Compliance and Permits: Ensure necessary construction permits and regulatory licenses are documented and up to date. + Office Supplies and Equipment: Oversee procurement and inventory of office supplies and maintain the work environment effectively. + Communication Management: Act as a point of contact for clients, vendors, and subcontractors, ensuring professional and timely responses to inquiries. Required Skills + Excellent organizational skills and multitasking abilities to manage office workflows in a dynamic construction environment. Preferred Qualifications + Prior experience in construction industry is an added bonus + Experience with QuickBooks or NetSuite is a plus Job Type: Full-Time Work Environment: On-site Requirements - At least 5 years of experience in office administration or a related role. - Proficiency in QuickBooks for managing financial records and reporting. - Demonstrated ability to manage and process expense reports accurately. - Strong organizational skills with experience arranging travel schedules and accommodations. - Previous experience in the construction industry is highly preferred. - Excellent communication and interpersonal skills to effectively interact with employees and vendors. - Strong attention to detail and ability to handle sensitive information with discretion. - Familiarity with benefits administration and related processes.
