We are looking for a detail-oriented and welcoming Administrative Assistant in Tampa, Florida. In this role, you will manage the front desk, provide administrative support, and ensure smooth day-to-day operations. This position is ideal for someone who thrives in a fast-paced environment and enjoys interacting with people.
Responsibilities:
- Greet visitors warmly and assist them with inquiries to create a positive experience.
- Oversee front desk activities, including sorting and distributing mail, managing deliveries, and keeping the reception area tidy.
- Coordinate and schedule appointments, manage calendars, and provide administrative assistance to staff as needed.
- Perform general office duties such as data entry, filing, and maintaining accurate records.
- Operate a multi-line phone system to answer and direct calls efficiently.
- Address routine inquiries from clients and staff promptly and courteously.
- Ensure office supplies are adequately stocked by monitoring inventory and placing orders.
- Support the organization by assisting with event coordination and other clerical duties as required.
Requirements
- At least 1 year of experience in a receptionist, administrative, or similar role.
- Professional services industry experience required, including legal, financial or similar type of industry experience.
- Proficiency in handling multi-line phone systems and managing inbound calls.
- Strong organizational skills with the ability to multitask effectively.
- Excellent communication and interpersonal abilities to interact with diverse individuals.
- Basic proficiency in office software such as Microsoft Office Suite.
- Ability to maintain a detail-oriented approach in a fast-paced environment.
- Attention to detail and accuracy in administrative tasks.
