Job Description

Job Title: Administrative Assistant / Receptionist

Location: Orton Academy

Position Summary:

We are seeking a highly organized and personable Administrative Assistant / Receptionist to join our school community. This position serves as the first point of contact for students, staff, and visitors, and provides comprehensive administrative support to school administrators and teaching staff. The ideal candidate will possess strong communication skills, a background or interest in health services, and the ability to manage multiple responsibilities in a dynamic school environment.

Key Responsibilities:

Front Office Reception & Communication:

  • Greet and assist visitors, parents, and students in a professional and welcoming manner. Answer and direct phone calls and emails; relay messages efficiently to staff.
  • Provide timely and clear communication of school information, including daily announcements, absences, and truancy.
  • Triache student services
  • Maintain tardy and absentee records
    • Fulfill and store Records Requests
  • Coordinate the daily menu and lunch count with the lunch team

Student Services:

  • Assist with maintaining student information systems
  • Assist with maintaining student records, including enrollment, attendance, and performance records.
  • Create the annual yearbook

Health Services Support:

  • Assist with basic health-related duties such as maintaining student health records, medication tracking, and coordinating with the school nurse.
  • Dispensing medications as needed
  • Respond to minor student health concerns and notify appropriate personnel.

Committee Involvement:

  • Actively support school committees and initiatives by coordinating meetings, preparing agendas, and taking minutes.
  • Assist with communication and follow-up tasks for committee-related activities.

School Announcements & Scheduling:

  • Create and distribute daily/weekly school announcements.
  • Manage the school calendar, including appointments, events, and school tours.
  • Coordinate and assist in planning school events.

Administrative Support:

  • Provide general administrative support to teachers and school administrators.
  • Assist with data entry, document preparation, filing, copying, and other clerical tasks.
  • Maintain confidentiality of sensitive information.
  • Have a creative mind, designer of systems, flyers, handouts, etc

Other Duties:

  • Perform other duties as assigned in support of the finance function or organizational priorities.

Qualifications:

  • High school diploma or equivalent required; post-secondary education or training in office administration preferred.
  • Prior experience in a school or educational setting is a plus.
  • Prior experience dispensing and recording medical logs
  • Strong verbal and written communication skills.
  • Proficiency with office software (Microsoft Office, Google Workspace, etc.).
  • Ability to multitask and manage priorities in a fast-paced environment.
  • Friendly, approachable demeanor with a professional attitude.


Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.

Salary, Benefits, and Terms

  • $19.00 - $20.00 per hour / Non-exempt
  • 5 days per week, Monday - Friday, 8:00 am - 4:00 pm (Academic year)
  • Work year and hours shall be those established by Orton Academy.
  • Performance evaluations will be conducted in accordance with school policy
