Position Summary

Are you passionate about making a difference in your community while leading efficient operations and delivering exceptional customer service? We are seeking a dedicated and energetic Donation Center Operations Coordinator to help ensure the success of our donation center. This role combines customer service, logistics, volunteer supervision, operational oversight, and hands-on support to create a welcoming experience for donors while maximizing the impact of donated goods.

Position : Donation Center Associate and Driver

Hours : Part Time 18 hours per week

Reports To: Donation Center Manager

Essential Duties & Responsibilities

Donor & Customer Service Excellence

  • Provide professional, courteous, and responsive customer service to donors, addressing concerns promptly and escalating unresolved issues to the Donation Center Manager when necessary.
  • Serve as a positive representative of the organization when interacting with donors, customers, volunteers, staff, vendors, and community partners.
  • Assist with scheduling donor pickups and customer deliveries through the online scheduling platform, Vcita.

Operations & Logistics

  • Support the day-to-day operations of the donation center to ensure efficient, effective, safe, and seamless workflow.
  • Coordinate equipment maintenance and repair requests, following through to ensure timely completion.
  • Help maintain a clean, organized, and welcoming donation center environment focused on outstanding donor service.
  • Perform daily operational tasks including:
    • Tagging merchandise
    • Sorting donations
    • Cleaning work areas
    • Driving and transportation duties
    • Furniture deliveries
    • Furniture pickup services
    • Other related operational responsibilities as needed

Volunteer Leadership & Training

  • Ensure volunteers follow all policies and procedures outlined in the Donation Center Training Manual, Procedures Manual, and Volunteer Handbook.
  • Provide guidance, support, and oversight to volunteers while promoting a positive and productive work environment.
  • Supervise volunteers in the absence of the Donation Center Manager.

Safety & Compliance

  • Champion a culture of workplace safety by enforcing safety policies, procedures, and regulatory requirements.
  • Ensure the donation center remains compliant with all applicable safety standards and legal requirements.
  • Assist with safety training for volunteers and staff.
  • Monitor and address facility safety needs, including fire extinguisher maintenance, hazard identification, and general operational safety.

Asset Protection

  • Safeguard company property, equipment, and donated goods.
  • Report any incidents involving theft or unauthorized possession of company property to immediate supervisors and Human Resources.

Additional Responsibilities

  • Perform other duties and special projects assigned to support organizational goals and operational success.

Qualifications

Education & Experience

  • Associate degree (A.A.) from a two-year college or technical school preferred; or an equivalent combination of education and experience.
  • Three to five years of related retail, warehouse, logistics, supply chain, or operational experience.
  • Logistics or supply chain experience is strongly preferred.

Communication Skills

  • Strong verbal and written communication skills.
  • Ability to read and interpret safety rules, operating instructions, maintenance manuals, and procedural documents.
  • Comfortable communicating effectively with donors, customers, volunteers, staff, and community groups.

Mathematical Skills

  • Ability to perform basic mathematical calculations, including addition, subtraction, multiplication, division, and discount calculations.

Problem-Solving & Reasoning

  • Ability to apply practical judgment and common-sense decision-making in a variety of situations.
  • Capable of managing multiple priorities and resolving operational challenges effectively.

Computer Skills

  • Experience using Point-of-Sale (POS) systems.
  • Proficiency with Microsoft Outlook/Email, Word, and Excel.
  • Ability to understand and follow advanced computer-based instructions.
  • Experience with volunteer management or logistics software is preferred.

Additional Requirements

  • Must be at least 18 years of age.
  • Ability to work flexible schedules, including varied days and hours as needed.
  • Reliable transportation required for travel between multiple store locations.
  • Must provide a reliable telephone number where they can be reached (cell phone preferred but not required).

Licenses & Certifications

  • Valid California Driver's License and proof of insurance.
  • Driving record must meet the standards of the organization's insurance provider.

Work Environment

This position operates in a resale/thrift store environment, including donation processing and warehouse areas. The environment is active, fast-paced, and mission-focused. Noise levels are typically moderate.
