Corporate Executive and Personal Assistant
We are seeking an experienced Corporate Executive and Personal Assistant to join our team. This is a dual-role position that combines executive-level administrative support with personal assistant responsibilities. The individual in this role will provide support to the Executive Leadership Team and will be responsible for handling a variety of business and personal matters to help ensure priorities are managed efficiently.
The ideal candidate is highly organized, resourceful, and adaptable, with the ability to manage competing priorities and maintain confidentiality. Responsibilities may vary from day to day and require the ability to seamlessly shift between corporate responsibilities and personal tasks while providing exceptional support to the Executive Leadership Team.
Reports To: Executive Leadership Team
Compensation and Position Details
- Pay: $55,000 - $65,000 per year
- Schedule: Monday through Friday, 8:00 AM - 5:00 PM, with flexibility to work additional hours as needed to support business needs and the Executive Leadership Team.
- Work Environment: Primarily on-site. Occasional local travel may be required to support business operations, attend meetings, and complete various business and personal errands.
Responsibilities
- Provide executive and personal support to members of the Executive Leadership Team.
- Manage calendars, appointments, meetings, and other priorities.
- Coordinate travel arrangements, accommodations, and itineraries.
- May be responsible for preparing presentations, reports, correspondence, and meeting materials.
- Manage communications and respond to emails on behalf of executives as needed.
- Assist with expense reporting, invoice processing, and recordkeeping.
- Track deadlines, follow up on action items, and help ensure projects stay on schedule.
- Organize and maintain files, records, and confidential information.
- Handle sensitive matters with professionalism and discretion.
- Run business and personal errands and assist with day-to-day tasks as needed.
- Assist with various administrative, operational, and personal projects.
- Identify opportunities to improve processes and increase efficiency.
- Anticipate needs, solve problems proactively, and provide support wherever needed.
Qualifications
- Bachelor's degree or equivalent experience preferred.
- Previous experience supporting senior executives or leadership teams.
- Proficiency with Microsoft Office, particularly Excel, Word, Outlook, and PowerPoint.
- Experience with Concur and monthly expense reporting.
- Experience with QuickBooks is a plus.
- Experience using Dropbox is a plus.
- Exceptional organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Strong interpersonal skills and the ability to build relationships with employees, customers, and vendors.
- Ability to manage multiple priorities while maintaining a high level of professionalism.
- Ability to exercise discretion and maintain confidentiality regarding company operations, personnel, and financial matters.
- Self-starter with the ability to work independently and adapt in a fast-paced environment.
