Administrative Coordinator (PMAA), Hybrid (VE25081605)
The Bowen Group seeks a full-time Administrative Coordinator to join our team in the Nashville/Murfreesboro, Tennessee area. This is a predominantly telework (hybrid) position with the expectation of occasional work onsite at either the Nashville (Vanderbilt) or Murfreesboro VA campuses.
Workplace Location: Must live no further away than 40 miles (1 hour) from BOTH the Nashville and Murfreesboro VA campuses. Must have personal transportation adequate to travel as necessary (2-3 times a month) to either campus. The Nashville campus is considered your place of work; no reimbursement for routine travel.
Hybrid Work Location: Nearly all your work can be done from your home provided you have an appropriate place free of distractions to work. Efficient performance determines the allowable balance of home and campus work.
CORE FUNCTIONS AND RESPONSIBILITIES
- Provide administrative support for Program Manager, Operations Manager and Team Supervisors to ensure efficient contact center operations.
- Provide world class customer service and use polite and professional communication via phone, email and chat.
- Serve as the primary Point of Contact (POC) for new hire onboarding/offboarding.
- Attend operation team and customer meetings as needed.
- Manage communication, including emails, team chats and meeting minutes.
- Manage correspondence associated with onboarding/offboarding on behalf of call center leadership.
- Coordinate onboarding/offboarding tasks with corporate Human Resources team.
- Assist in the preparation of regularly scheduled reports (call center metrics, quality assurance, etc.).
- Serve as a liaison between the contractor and the Contracting Officer Representative (COR) for onboarding/offboarding personnel
- At Veterans Administration facility, coordinate and track new equipment assignment, exchange and drop off of equipment for call center staff.
- Handle sensitive information in a confidential manner and maintain confidential records and files.
- Maintain employee and team records to contract service level agreements.
- Maintain and disseminate staffing and military affiliation reports.
REQUIREMENTS
- Education: High School Diploma or equivalent.
- Work Experience: Two (2) years of administrative assistant or office assistant experience.
- Wired-to-Home Internet: Ability to connect your computer into your wired cable service home High-Speed Internet router. Your speed test must indicate a minimum 25 Mbps download without delay / Minimum 10 Mbps upload, both without any delay.
- Software: Experience working with Microsoft Office 365, i.e., Outlook, Word, and will be a constant user of Microsoft Excel and Teams.
- Home Office: Able to provide a work-at-home environment that is ergonomically sounds, conducive to taking customer calls, quiet, and free from distraction.
- Must be a U.S. citizen with REAL ID identification or acceptable REAL ID equivalent: US Passport, Department of Defense ID card for active / retired / military family dependent member.
- Background Investigation: Able to pass a federal NACI background check.

- Business Manager experience
- Experience using Salesforce
- Government agency and contact center operations experience
