Job Description
Disney Entertainment Television's (DET) International Casting department is seeking an Executive Assistant. As Executive Assistant, you will support the International Casting Department, a new and expanding division of DET. The right person for this role will be self-motivated, proactive in problem-solving and research. They will demonstrate adaptability and flexibility, with the ability to prioritize and manage multiple projects concurrently. Exceptional organizational skills and meticulous attention to detail are a must.
**Primary Responsibilities:**
+ Manage intricate calendars for executives, schedule internal and external meetings in collaboration with other assistants and external professionals
+ Coordinate heavy and sometimes challenging travel arrangements both domestically and internationally, as well as keeping track of passports, visas, global entry, travel restrictions, and anything else pertaining to travel
+ Keep track of department expense reports and process in a timely manner (via Concur)
+ Maintain and update the international casting databases (AirTable, Qwire, SharePoint), phone sheet (Edge), and project status tracker (Excel)
+ Coordinate meetings and schedules across different time zones around the world
+ Type meeting notes and create meeting agendas
+ Take proactive steps to anticipate executive requirements and mitigate potential scheduling or logistical problems
+ Monitor progress, follow up on action items, and help drive the completion of key outstanding projects
+ Ability to remain flexible and effective in a dynamic environment, collaborating with a team that frequently travels
+ Research international actors, industry trends, and track industry trades
+ Track and file all project materials, department reports, and internal/external documents
+ Create and update presentations, letters, and other forms of management reports and communications
**Basic Qualifications:**
+ 1+ years supporting an executive in an administrative capacity in Casting, Agency or Network/Studio
+ Experience building and maintaining filing systems and organizing and maintaining large amounts of data
+ Excellent verbal and written communication skills including telephone etiquette
+ Ability to assume responsibility, function effectively in a team environment and independently, with minimal supervision
+ A sense of urgency and a proactive mindset
+ High level of integrity and discretion in handling confidential information
+ Tech-savvy with proficiency in Excel, Word, PowerPoint, Outlook, AirTable, FileMaker Pro, and Internet
+ Demonstrate strong communication and time-management skills, able to effectively communicate and manage tasks in a proactive and timely manner
+ Strong organizational skills and the ability to pay close attention to detail while handling multiple projects simultaneously
+ Exceptional collaboration skills and team mentality
+ A positive attitude and the ability to work effectively under pressure
+ Bilingual preferred, but not necessary
+ Developing knowledge and comfort using AI
**Preferred Qualifications:**
+ 2+ years of related experience; agency or casting office experience preferred
+ Working knowledge of iMovie, Adobe, Premiere, Final Cut Pro, QuickTime, with ability to edit/upload actor materials (demos, clips, etc.)
+ Some international knowledge such as skills learned overseas, global and culture awareness, lived or studies abroad, etc.
**Required Education:**
+ Bachelor's degree or equivalent work experience.
The hiring range for this position in Burbank, CA is $53,300.00 to $71,300.00 per year based on a 40-hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
