Position Summary:
We are seeking a highly organized and personable Lead Front Desk/Administrative Assistant to join our team in a hybrid role. This individual will serve as the first point of contact for visitors to our showroom and lead the coordination of front desk tasks and assist with administrative operations. The ideal candidate brings both hospitality and leadership experience, ensuring the showroom runs smoothly both in person and behind the scenes.
Key Responsibilities:
Front Desk:
- Greet and assist showroom visitors, clients, and vendors with professionalism and warmth
- Answer and route phone calls, take messages, and respond to inquiries
- Schedule and confirm showroom appointments and client consultations
- Maintain a clean, welcoming reception and showroom environment
- Coordinate showroom inventory and deliveries
- Create and implement front desk training and policies
- Assist clients with customer service inquiries
- Generate daily and weekly front desk reports
Administrative:
- Provide high-level administrative support to Leadership Team
- Prepare and manage client records, quotes, and order documentation
- Manage email communications and follow ups as necessary
- Create content for weekly administrative and sales meetings
- Identify and propose improvements to administrative systems and workflows
- Miscellaneous administrative tasks as needed
Qualifications:
- Minimum 3 years of experience in an administrative or front desk role (preferably in a showroom, interior design, or construction environment)
- At least 3 years of leadership or management experience, with a demonstrated ability to oversee processes and/or personnel
- Proficient in Microsoft Office Suite, Google Workspace, and CRM platforms
- Experience with scheduling software and office management systems
- Excellent communication and customer service skills
- Highly organized with strong attention to detail and time management
- Self-motivated and able to work independently
- Comfortable learning and explaining basic product information (granite, quartz, etc.)
Preferred Attributes:
- Experience in the home improvement, design, or stone industry
- Knowledge of natural stone and countertop fabrication processes
- Familiarity with showroom or customer relationship management software
