Job Description

SwimRVA is looking for a detail-oriented Administrative Coordinator to join our team. This position is a part-time non-exempt position with flexible hours. As the Administrative Coordinator you will play a key role in supporting the Associate Director of Business Administration's goal to improve collaborative force readiness processes across all SwimRVA divisions designed to meet the needs of a rapidly growing non-profit.

Under the Direction of the Associate Director of Business Administration the Administrative Coordinator will:

  • Ensure efficiency and effectiveness of employee onboarding, training, and performance management processes
  • Serve as a lead in scheduling mission critical internal training, operationalize organization-wide appreciation programs and help manage staff uniforming and inventory
  • Build confident SwimRVA associates as they navigate the SwimRVA career ladder and deliver our aquatics mission

The Administrative Coordinator job duties:

  • Onboarding
    • Coordinate with Associate Director of Business Administration to create interview packets
    • Assist in conducting employee onboarding procedures
    • Update records of completed training for new hires
    • Assist in achieving the 21-day onboarding goal is completed from application date
  • Training and Certifications
    • Organize and help facilitate staff training at all locations when needed
    • Monitor employee certifications and track status for completion
    • Update certifications as they are completed
    • Assist in the revision of all employee training programs and materials to stay up-to-date with the organization's needs
    • Coordinate staff review packets and track review completion
    • Track SwimRVA's 90-day level expectation training with department managers for new hires and internal advancements
  • Uniforming and Inventory Management
    • Assist with obtaining uniform sizing for new hires through onboarding
    • Assist with distributing and tracking uniforms for new hires
    • Help efficiently manage uniform tracking for new hires and yearly distribution of uniforms
    • Maintain inventory management through inventory audits for uniforming and apparel
    • Maintain an organized and neat uniform storage area to ensure easy access
  • Appreciation Programs
    • Collaborate with Associate Director of Business Administration on reward and recognition ideas throughout the year
    • Coordinate with Associate Director of Business Administration weekly or monthly spotlights for employees
    • Ensure that recognition awards are distributed to employees
    • Assist with setting up social events and potlucks at all locations several times throughout the year

Qualifications:

  • Ability to articulate, both orally and in written form, clear and concise program objectives and goals and summarize achievements of programs in reports and other documents as requested
  • Able to exercise judgement and to work effectively with all levels in the organization
  • Ability to exercise discretion and maintain confidentiality
  • Highly proficient in Microsoft Excel, data analysis and presentation skills
  • Ability to maintain databases and provide routine reporting; edit work for proper grammar, spelling, and punctuation
  • Manage office activities and administrative work; to interpret and apply policies and procedures
  • Communicate effectively both orally and in writing
  • Able to lead the work of others and work effectively with a variety of people
  • Must be flexible and able to multi-task with ease
  • Attention to detail
  • Excellent communication skills
