**Job Title:** Program and Event Specialist
**Department:** Radiology Learning Center
**Location:** Hospital of the University of Pennsylvania - 3400 Spruce St
**Hours:** M-F, 8-4:30 with flexibility in hours based on operational needs. Requires occasional travel and availability to work nights and weekends.
**Summary:**
+ The Program & Events Specialist supports the daily operations of the Radiology CME program, department conferences & events. Reporting to the Director of Programs & Special Events, they execute projects in three key areas: (1) continuing medical education, including Grand Rounds and CME courses, (2) research symposia and special events, and (3) department faculty, staff, and alumni activities. Responsibilities include building events on technical platforms, managing website content, and coordinating program communication. They conceptualize and manage details for special events and projects with guidance from the director.
**Responsibilities:**
+ Develop and execute visually appealing marketing campaigns for lectures, symposia, CME courses, and special events through electronic announcements, invitations, and flyers.
+ Possess strong writing and communication skills.
+ Manage multiple tasks simultaneously and meet tight deadlines.
+ Work independently in a fast-paced professional academic environment.
+ Maintain a communication calendar and ensure timely messaging.
+ Manage, track, and assign meetings & events using a project management system.
+ Have a basic understanding of CME accreditation requirements and reporting.
+ Continuously maintain and update alumni and CME databases and distribution lists.
+ Source various items from outside vendors, and obtain quotes and proofs for approval.
+ Proficient in utilizing event management systems.
+ Design destination meeting websites, write copy, and select imagery for meeting destinations.
+ Familiarity with hotel contracts to extract the necessary information for course websites.
+ Develop speaker confirmation documents and manage program faculty deadlines.
+ Update marketing and communication materials to provide information for registrants.
+ Configure agendas for in-person and live-stream conferences.
+ Create and administer surveys and generate requested reports.
+ Proficient in using PowerPoint and file-sharing platforms.
+ Requires occasional travel and availability to work nights and weekends.
**Education or Equivalent Experience:**
+ Bachelor of Arts or Science (Required)
+ Education Specialization: Marketing / Communications / Hospitality-Tourism / or other related degree
+ And 2+ years Administrative (assistant/coordinator) event experience (Required)
