The Tennessee Aquarium, rated the best aquarium in America for overall guest satisfaction, attracts over 750,000 visitors each year. The Event Planner helps supervise Facility Rental operations, ensuring excellent customer service and satisfaction in all aspects of event operations while supporting the Aquarium's mission to connect people with nature and empower them to make informed decisions about water and wildlife.
Key Responsibilities
- Assist in coordinating event details with facility rental clients before, during and after the event through email, phone, and face-to-face communication, converting potential business into contracted business.
- Serve as Manager on Duty for some evening events as requested by, ensuring total guest satisfaction.
- Maintain operational policies and procedures to ensure consistency and a clean and safe work environment for guests, staff, caterers, and contract laborers.
- Assist in hiring, training, scheduling and supervising events staff.
- Handle guests' problems/complaints effectively.
- Actively engage and communicate with guests, staff and management.
- Maintain working knowledge of event CRM, work order and invoicing processes, inventory orders, maintenance requests and other internal forms as directed by the Event Operations Manager and Events Assistant Manager.
- Work collaboratively with the Event Operations Manager and Events Assistant Manager to assist in the implementation of Membership, Development, and internal events, including fundraising, membership and other internal events.
- Maintain an excellent working relationship with internal departments to aid in the implementation of such events.
- Work closely with caterers and vendors to ensure quality and adhesion to Aquarium guidelines and recycling efforts during events.
Qualifications
- Some college preferred.
- Minimum of two years' experience in a related field.
- Beer/wine card
- Valid driver's license
- Required to work a schedule that includes nights, weekends and holidays as needed
- Ability to work in a hands-on, fast-paced environment
- Demonstrated ability to lead deadline-driven, complex projects
- Strong multi-tasking ability and time management skills
- Excellent oral/written communication and organizational skills
- Self-motivated with a knack for problem solving
- Shows initiative, is proactive and can work both independently and collaboratively to accomplish desired outcomes
- Strong attention to detail
- Ability to maintain poise under pressure
Full-time, hourly ($19.23-21.64/hour, commensurate on experience); Includes evenings, weekends, and holidays as needed.
