SUMMARY: The PA Heritage Foundation seeks a highly organized Administrative Assistant on a part-time basis (20-29 hours per week) to provide support to our Board and full-time team and to assist in daily office needs and general administrative activities. RESPONSIBILITIES INCLUDE: Assist with various administrative assignments to include, but not limited to: • Input to database program. • Running reports from database. • Processing requests for information. • Organizing and coordinating project mailings. • Social media postings. • Preparation for membership, donor and board events as needed. • Planning and organizing meetings and take detailed minutes. • Preparation and distribution of emails, correspondence memos, letters, faxes and forms. • Preparation of regularly scheduled reports. • Development and maintenance of the office records management system. • Updating and maintaining office policies and procedures. • Ordering office supplies. • Maintenance of contact/distribution lists. • Handling routine requests and queries from the Board et al (with input from others). • Other duties as assigned. REQUIRED KNOWLEDGES, SKILLS, AND ABILITIES • Ability to carry out, with some supervision, staff assignments requiring the organization of material and development of procedures. • Ability to conduct studies and analyze data contributing to the development of sound operational procedures. • Ability to speak and write effectively. • Ability to establish and maintain effective working relationships with administrative officials, other employees, and the general public. • Ability to work independently and in a team environment. • Ability to work in in a dynamic work environment. ESSENTIAL POSITION QUALIFICATIONS: • High school diploma or equivalent; business school or related work experience; associate degree a plus. • 5+ Years’ experience handling office responsibilities. • Proficient computer skills, including Microsoft Office Suite (Word, Excel, Outlook, PowerPoint and Publisher); database management; social media management skills required.
