Reports to: Sr. Accounting Manager The Payroll Coordinator is responsible for full-cycle bi-weekly payroll processing, year-end reporting and audit preparation. Payroll Coordinator responsibilities include: • Data verification, data entry and processing of bi-weekly payroll • Payroll file transmission to the bank • Employee maintenance (new hires, terminations, changes) • Ensure employee records are accurate and up-to-date including changes to employee insurance, 401K, COBRA, unemployment claims, new employee physicals, workers compensation, garnishments/other employee deductions and OSHA reporting • Calculate information for tax payments to government sites and initiate payments • Review reports to ensure accuracy of all payroll-related information • Post payroll entries • Update and maintain accurate records and reports related to employee wages, taxes and other employee transactions • Research and respond to internal and external inquiries in a timely manner • Maintain employee confidence by keeping payroll information confidential • Process year-end close including W-2 preparation, year-end tax reporting, and internal year-end reports • Prepare payroll-related schedules for audits • Complete assigned duties within established guidelines • Additional duties and tasks as assigned The Billing Coordinator is responsible for handling all aspects of the billing process in a high-volume, fast-paced environment. This is a key position in the revenue cycle. Billing Coordinator responsibilities include: • Process sales tickets from all locations • Check tickets for proper quantities conversions, part numbers and tax calculations • Verify pricing against quote books • Complete and send out all billings and returns on a weekly basis • Process adjustments to customer accounts as needed • Track pallet returns • Post sales entries • Maintain building supply quotebook • Complete assigned duties within established guidelines. • Additional duties and tasks as assigned Experience and Minimum Requirements • High school diploma required • Associates degree in business or accounting preferred • 3+ years of experience working with a payroll system (Great Plain experience a plus) • Ability to handle sensitive and confidential employee information • Strong attention to detail and the ability to proof one’s own work • Must have regular and punctual attendance • Proficiency using Microsoft Office Suite (Outlook, Word, Excel, Powerpoint) • Excellent verbal and written communication skills • Ability to handle multiple tasks at once • Ability to work overtime when needed
